Job Outline:

An exciting opportunity has arisen for a trainee office administrator to join a very busy and expanding Specialist/Industrial Cleaning and Ventilation Company based in West Calder with clients throughout the UK and Ireland.

This is a great opportunity if you are looking to commence a career in Business Administration as you will be given full on the job training along with the possibility of gaining a recognised qualification by completing the Business Administration Apprenticeship giving you the opportunity to earn whilst you learn. 

This is a full time long term position where you can develop with the company.

The Role:

This will be a varied, busy and challenging role where you will be responsible in the support of the day to day running of this busy office.

Your duties will include but are not limited to:

Reception Duties:

  • Taking calls and dealing with initial enquiries
  • Responding to emails from clients and potential clients
  • Managing fleet vehicles ensuring MOT's/Services/Road Tax etc are kept up to date
  • Keeping works schedules up to date for both the cleaning and installation divisions
  • Book in works required to be carried out at a time suitable to client
  • Create and issue legal certification certificates required for customers once works are completed
  • Placing supply orders as requested by managers of all divisions as well as stationery, refreshments etc.
  • Scanning and photocopying of required documents

 

Experience / Qualities/ Qualifications required:

You will be Educated to a minimum of Nat 5 level in English and Maths and be proficient in using a computer especially Word, Excel and MS Office as well as this you will be:

  • Able to follow instruction and committed to learning
  • Super organised
  • Friendly and helpful
  • Flexible and able to prioritise a changing to do list
  • Detail oriented and accurate
  • Trustworthy and reliable
  • Self-motivated
  • Articulate and an excellent communicator
